    Gautam Hospital – Billing, Cancellation & Refund Policy

    At Gautam Hospital, Rudrapur, we are committed to providing a transparent and seamless experience when it comes to billing, appointment rescheduling, cancellations, and refunds. This policy applies to all appointments and services booked through our website, hospital reception, or authorized digital platforms.

    Below are the key points of our policy:

    1. Billing Policy

    Invoices for appointments and services booked through our platforms are generated as per the following schedule:

    • Doctor Consultations: Invoice is generated on the same day of OPD visit, by 6:00 AM.
    • Radiology & Diagnostics: Invoice is generated on the day of test or procedure, by 6:00 AM.
    • Lab Tests (In-Hospital): Invoiced on the same day of sample collection.
    • Lab Tests (Home Collection): Invoice is generated post-sample collection and confirmation of payment.
    • Pharmacy Orders: Billed manually post verification of availability, batch, and expiry.

    2. Rescheduling, Cancellation & Refund Policy

         2.a) Appointments with No Invoice Generated:

    • You may cancel or reschedule your appointment anytime via our website, helpline number, or hospital reception.
    • A full refund will be processed if the appointment is cancelled before invoice generation.

    Refund Processing Time: 10–15 working days

    2.b) Appointments with Invoice Already Generated:

    • You may request cancellation through our helpline or at the billing desk.
    • The request will be reviewed by the administrative team. Refunds will be processed only if the service has not been rendered or initiated.

    3. Refunds Based on Payment Method

    • Cash / UPI / Debit Card (Up to ₹10,000): Eligible for same-day cash refund (subject to billing desk approval).
    • Cash / UPI / Debit Card (Above ₹10,000): Refund will be processed via NEFT or cheque within 10–15 working days.
    • Credit Card Payments: Same-day refund by voiding the original transaction via card terminal (only if same day).
    • Post-Date Refunds (OPD): Refund requests after the billing date will be processed via cheque or NEFT only.

    4. Service-Specific Cancellations (Post Invoice Generation)

    Cancellation requests will be accepted based on the service status:

    • Consultations: Cancellation not allowed if the doctor has already generated a prescription. Approval required from OPD team if not.
    • Radiology Tests: Can be cancelled only if the test is not registered/performed, with confirmation from the radiology desk.
    • Lab Tests (Hospital): Cancelled only if sample is not collected/registered, with confirmation from lab team.
    • Lab Tests (Home Collection): Allowed if sample has not yet been collected.
    • Pharmacy Orders: Can be cancelled only before the order is billed.
    • Executive Health Packages: Cancellation allowed only if no lab/radiology registration has occurred.

    5. Partial and Full Cancellations

    • Partial Cancellations (In-person only): Applicable only for services that have individual appointment IDs.
    • Lab Test Bundles: Partial cancellation is not allowed for bundled lab test appointments booked under a single ID.

    6. Discount Policy

    Any applicable discounts will be honored as per ongoing hospital promotions or agreements. Document verification may be required.

    7. Free Follow-Up Consults

    Free follow-ups (if applicable) must follow the hospital’s billing and eligibility rules. Please contact the front desk for further information.
